The Public Interest Incorporated Association Japan Audit & Supervisory Board Members Association (hereinafter referred to as “Association”) protects the personal information (information that can identify a specific individual) held by the Association and ensures the trust of its members and other parties concerned (hereinafter referred to as “Members, etc.”). Therefore, the Association complies with laws and regulations and other norms regarding the protection of personal information, and handles personal information assets held by the Association in an appropriate manner, recognizing the importance of, and its responsibility for, personal information management. In addition, the Association takes the following measures to ensure the smooth implementation of this Personal Information Protection Policy.

2.Security Management
In order to implement this policy, the Association has established the following rules, etc. and ensures that its employees are fully aware of them, pays careful attention to personal information management, and takes necessary measures to prevent unauthorized access, leakage, loss, falsification, etc.
We also inspect and evaluate the status of compliance with this policy on a regular basis, and review personal information protection measures as appropriate for maintenance and improvement.

3.Collection of Personal Information
The Association properly manages and disposes of personal information obtained through the Association’s website or in writing, etc., and uses such personal information within the scope of the purposes of use.

4.Purposes of Use of Personal Information
The Association uses personal information for the following purposes.

  • Giving notice of conferences, meetings, training sessions, etc. and association activities, as well as handling other work necessary for the operation of the Association
  • Procedures for changing membership registration
  • Sale of publications, etc.
  • Responding to questions and requests from Members, etc.
  • Preparation of survey materials such as various questionnaires and statistics
  • Support for job opportunity services
  • Confirmation of various charges and payments

If it becomes necessary to use personal information beyond the scope of the above purposes of use, we will inform you of the purpose of use again and confirm the consent of the parties concerned.

5.Provision of Personal Information to Third Parties
The Association will not provide personal information to a third party without the permission of Members, etc., except in the case of outsourcing any work necessary to provide services to Members, etc. In such case, we will properly supervise the contractor and take other necessary measures in accordance with the rules concerning outsourcing.

6.Ensuring Accuracy of Personal Information
The Association manages personal information to ensure that the content thereof is as up-to-date and accurate as possible. Further, we will immediately disclose personal information, etc. to the information subjects upon their request for confirmation of such personal information, etc., and promptly add to, change, modify or delete personal information, etc. on a case-by-case basis pursuant to such request.

7.Outsourcing
The Association outsources the sending of some postal items, etc. In accordance with the provisions set forth in advance, the Association causes its contractors to observe their confidentiality obligations, provides such contractors with appropriate supervision to ensure there will be no information leakage, etc., and takes any other necessary measures.
