Personal Information Protection Policy

1.Basic Policy
The Public Interest Incorporated Association Japan Audit & Supervisory Board Members Association (hereinafter referred to as the “Association”) properly handles the personal information (information that can identify a specific individual) held by the Association and endeavors to protect the rights and interests of its members and other parties concerned (hereinafter referred to as “Members, etc.”). For this reason, the Association is fully aware of the importance of its responsibilities as a business operator handling personal information and complies with laws, regulations, etc. and other norms relating to the protection of personal information. In addition, it has established and operates the following policy on personal information protection for personal information held by the Association.

2.Security Management
In order to protect the rights and interests of the Members, etc., the Association has established rules for the handling of personal information, etc., and ensures that all employees are familiar with such rules. In addition, the Association pays close attention to the safe management of personal information and has established and operates an information security system, including a safety management system, training, access control and network access restrictions, to prevent unauthorized access, leakage, loss or damage, and takes safety management measures.
Further, the Association will periodically check and evaluate the status of compliance with the rules for the handling of personal information, etc., and review and improve safety management measures as necessary.

3. Acquisition of Personal Information
The Association obtains personal information of each of the Members, etc., such as his/her name, address, telephone number, e-mail address and the company to which he/she belongs, when he/she joins the Association or when he/she changes his/her registration information, for example, by means of a prescribed form or in writing.

4.Purposes of Use of Personal Information
The Association uses personal information for the following purposes.

  • Giving notice of conferences, meetings, training sessions, etc. and association activities, as well as handling other work necessary for the operation of the Association
  • Processing membership registrations and changes thereto
  • Selling publications and conducting other activities
  • Responding to questions and requests from Members, etc.
  • Preparing survey materials such as various questionnaires and statistics
  • Giving support for executive recruitment services and other referral services
  • Confirming various charges and payments

If it becomes necessary to use personal information beyond the scope of the above purposes of use, the Association will inform the Members, etc. of the purpose of use and obtain the consent of the Members, etc.

5. Provision of Personal Information to Third Parties
The Association does not provide personal information to third parties without the consent of the Members, etc.

6. Supervision of Outsourcees
The Association may outsource the services necessary to carry out the purposes of use set out in 4. to third parties. In such case, the Association will establish the regulations for management of outsourcing and carry out necessary and appropriate supervision of its outsourcees.

7. Ensuring Accuracy of Personal Information, Etc.
The Association manages personal information to ensure that the content thereof is as accurate and up-to-date as possible. In addition, when a request is made for the disclosure, correction, etc. or cessation of use, etc. of personal information, the relevant request will be properly dealt with in accordance with laws and regulations, etc., as well as the regulations for handling of personal information and the like. When it is no longer necessary to use any personal information, the Association will delete it within a reasonable period of time.
